Your responsibilities

  • Assist and support in the delivery of corporate real estate portfolio database management, lease administration, and lease abstraction services
  • Assist in the implementation of the data management system, update files and records, and create therein if necessary
  • Confirm data integrity and liaise with local offices/controllers to secure contracts/agreements/ property records and to ensure accurate lease rental, services, applicable local taxes, etc.
  • Record and extract lease clauses/terms/conditions/options into the database and track pertinent lease information (i.e., expirations, renewals, terminations, etc.)
  • Maintain and update property information such as unit information, floors, and areas for units and building
  • Ongoing updates to lease records as required including tenant contact information, renewal processing, and other updates as needed Monitoring of critical dates and option status information
  • Review and accurately post all fully executed lease documents, amendments, and license agreements into the Tririga real estate software database based on completed lease abstracts 
  • Other ad-hoc tasks to be assigned by Asia Real Estate HK - Business unit  and IFRS group
  • Perform self-audit and peer review of work to ensure accuracy
  • Assist and prepare reports for management purposes
  • Active communication to all contacts by means of email 
  • Facilitate or actively participate in meetings/conference calls with global and local contacts

About you

  • Preferably a graduate of any business-related course
  • Knowledge of corporate real estate and Tririga would be an asset
  • Advanced Microsoft Office skills including advanced Excel and Spreadsheets
  • Client-focused with the ability to understand the requirements of stakeholders
  • High level of accuracy, and attention to detail
  • Ability to react quickly and meet tight deadlines maintaining accuracy and thoroughness
  • Excellent English skills, both oral and written, with strong comprehension skills to effectively communicate with internal and external parties
  • Knowledge of data analysis, financial analysis, time management, and contract/lease management would be an asset
  • Demonstrate initiative and team player
  • Ability to adapt to changes, and set priorities
